Notes on adding events

Please read through these notes on how to get the best from our free events service.

Titles

Think about what your event is, and how your audience might identify it.  It should also be a title that is unique to this specific event. 

Do not use the same title for more than one event.

For example: Classical concert or Henderson Ensemble might both describe the same event, but don’t necessarily tell the view what this event really is. Any number of events could be described as Classical Concert.

A better title might be - Henderson Ensemble in Concert, at the Royal Hall.

This title not only describes the specific event, but includes the venue. 

Including the venue is not always necessary but certain venues like a cathedral, listed building etc. add to the appeal of an event both through the pleasant surroundings, but also the opportunity to see inside a building not always open to the public.

Description

Your description should include:

  • What your event is
  • What audience it might appeal to
  • What makes your event special, or different from similar events
  • Is any special clothing or footwear needed or recommended
  • Is food provided or do visitors need to bring their own

We ask you not to use block capitals in any of your submission.

Images

This is the area where a little bit of time can give the biggest benefit.  The best image is a simple single image, with no overlying text, other than a title.  Do not include detail in your image, it may not be cleary visible.

Our site shows images in landscape, and will automatically crop you image to match our template (3x2 rectangle), so you are best using an image which is roughly that shape to begin with.

Posters:  We will not accept your poster as your image.  There are two reasons for this:

  • Display - On smaller devices your poster will not be readable, and will not help the visitor discover your event.
  • Searchability – The text on your poster cannot be read by the website, so cannot be returned in the visitors search either on our website or by search engines such as google, we want to encourage you to enter everything that is on your poster, into the text field on the form.  This will also help those using a screenreader.

We will accept logos and title graphics (a logo over a headline shot as in the image above).

If your image does not fit these guidelines we will remove it rather than have image that does not display well.  You can email us an image to add to a listing later.

When should you add your event?


6 weeks or more before the event takes place is ideal, but larger events should be added months in advance. 

This is so:

  • We know about it and can include it in our promotional activity
  • Visitors planning in advance can see it, if you revent caters to a specific hobby, interest or aspect of local life visitors may wish to include it in their visit, and move other activities to fit – before they book them
  • Search Engines know about it – Tens of thousands of visitors enter our website having found an event listing on Google or similar.  Search engines such as this need time to find and learn about new webpages when they appear to return them for the right search terms.

We are always happy to add more info to your event listing nearer the time, so advise loading your event once your know it is taking place with an outline description and email us the full details once you have them.

Annual Events

Does your event take place every year?  Did we have a listing for last years event? 

If so, then we will re-use that listing rather than create a new one because search engines such as Google already know about it, meaning more people will see you event sooner. 

Email Us with updates to your event listing such as dates, times, images and this years details and we will update the listing for you.
